In Outlook, you can create one or more personalized email signatures and choose when they appear in your messages. A signature can include text, links, images and a logo. You can automatically add a signature to new messages or replies and forwards, or insert one manually when composing an email.

<summary>New Outlook for Windows</summary>

1. Open the new Outlook for Windows.
2. Select the **Settings** gear icon in the top-right corner.
3. Select **Accounts**, then **Signatures**.
4. If you have more than one account added to Outlook, select the account you want to associate with the signature.
5. Select **Add signature**, then enter a name for the signature.
6. Enter and format your signature in the editing box.
7. Use the checkboxes to choose whether the signature should automatically appear on:
  - New messages
  - Replies and forwards
8. Select **Save**.

If you leave the automatic signature options unchecked, you can add a saved signature manually when composing a message.

<summary>Classic Outlook for Windows</summary>

1. Open a new email message.
2. On the **Message** tab, select **Signature**, then **Signatures**.
3. Under **E-mail account**, select the account you want to associate with the signature.
4. Under **Select signature to edit**, select **New**, then enter a name for the signature.
5. Under **Edit signature**, enter and format your signature. You can change the font, color, size and text alignment.
  - For more advanced formatting, such as bullets, tables or borders, create and format the signature in Microsoft Word, then copy and paste it into the **Edit signature** box. You can also use one of Microsoft's [pre-designed signature templates](https://support.microsoft.com/en-us/office/create-an-email-signature-from-a-template-5b02c5ed-1e85-4d2a-a098-9628fe3231d8).
6. Under **Choose default signature**, select the signature you want Outlook to automatically add to **New messages**. Select **(none)** if you do not want a signature added automatically.
7. Under **Replies/forwards**, select the signature you want Outlook to automatically add to replies and forwarded messages, or select **(none)**.
8. Select **OK** to save your signature.

> ℹ️ **Note:** Signatures created in classic Outlook are stored locally on the device where they were created and may not be available when you use Outlook on another device.

### Change an Existing Signature in Classic Outlook

1. Select **File**, then **Options**.
2. Select **Mail**, then **Signatures**.
3. Select the signature you want to edit and make your changes in the **Edit signature** box.
4. Select **Save**, then **OK**.

1. Open the Outlook on the Web.
2. Select the **Settings** gear icon at the top of the page.
  
3. Select **Accounts**, then **Signatures**.

## Insert a signature manually

If you don't choose to insert a signature for all new messages or replies and forwards, you can still insert a signature manually.

1. In your email message, on the **Message **tab, select **Signature**.
2. Choose your signature from the fly-out menu that appears. If you have more than one signature, you can select any of the signatures you've created.
